Organizing a conference or congress is a long list of small decisions that nobody notices when they go right. Transport is one of them. While it works, no one thinks about it. The moment a speaker misses the opening or a delegation waits outside the airport, it becomes the first thing everyone remembers.

  • Larger groups: a mix of cars, minivans and a minibus, with one point of contact and a dispatcher.

Belgrade as a host city, and what it means for transport

Belgrade has become a more active congress destination in the region, with a growing offer for business events and MICE groups. For whoever plans the transport, the key question is simple: where do these events actually take place?

Most of the congress infrastructure sits in New Belgrade: Sava Centar (the largest congress center in Serbia, with a big main hall and around fifteen conference rooms), Belexpocentar, Štark Arena, and hotels with meeting capacity such as Hyatt Regency, Crowne Plaza and Holiday Inn. Good news for logistics: this whole cluster is fairly close to Belgrade Nikola Tesla Airport (BEG), often 15 to 25 minutes by car depending on traffic, so guest arrivals are usually short and predictable.

There are exceptions worth knowing. The Belgrade Fair sits across the river from New Belgrade and takes longer to reach, while events in city-center hotels (for example Metropol Palace or Square Nine) mean driving through downtown traffic. So the exact plan depends on where your venue is.

The airport welcome sets the tone for the whole event

A guest’s first contact with your event is usually not the hall, but the moment they walk out of the plane. If a driver meets them with a name sign and takes them straight to the hotel, they start relaxed. If they wander the terminal and haggle with taxi drivers, you have started on the wrong foot.

With many guests, the problem is not one arrival but several flights on the same day, often during busy hours. The hotel–venue shuttle is the heart of the logistics

The biggest pressure is not the drive itself, but two narrow windows: before the opening, when everyone has to arrive at once, and after the close, when everyone leaves together. This is where a simple “car booking” turns into a real operation.

For smaller groups we use the V-Class minivan, and for larger ones the Sprinter is more practical. Often several vehicles run in shifts, so the whole group moves in a short time. When the hotel and the venue are close, as in the New Belgrade cluster, the shifts turn over quickly. When they are far apart, plan for more vehicles or longer windows.

One tip from practice: do not plan the shuttle to the minute. Always leave a buffer, because guests never gather in one second.

Speakers and VIP guests need a car on standby

A key speaker, an international partner or a board member usually does not join the shared transport. That guest needs a dedicated car on standby, most often an S-Class, because the schedule shifts through the day: a meeting before the panel, an interview, an early departure.

For this we use chauffeur hire by the hour or day, where the driver waits and drives as needed, without arranging each trip from scratch.

One point of contact is what holds it all together

One vehicle is easy to follow. Five vehicles in the same hour, with different guests and destinations, is a different story. This is where mistakes get expensive and visible.

So for larger events everything runs through one contact and a dispatcher, not a dozen messages to individual drivers. Schedules are planned in advance, vehicles and drivers are tracked through software, and any change during the day is handled in one place. That is exactly how we handled that 34-trip congress without creating extra stress for the organizer, even though we stepped in at the last minute.

Guests arriving from the region or other cities

Some participants do not fly in. They come from neighbouring countries or from other Serbian cities by road, and you still want them inside the same transport system, not left to manage on their own.

For them we use our private intercity transfer, so a guest from another city is met and driven the same way as those landing in Belgrade.

Evening programme and gala dinner

Many events also have an evening part: a gala dinner, a cocktail, or a city tour. This is extra transport, usually late at night and on a different schedule from the day.
